FESTIVAL DATES
The 2024 dates of the Neptune Festival Boardwalk Weekend are Sept 27-29, 2024.
Boardwalk Weekend hours are:
Friday, September 27, 2024: 12:00pm – 11:00pm
Saturday, September 28, 2024: 10:00am – 11:00pm
Sunday, September 29, 2024: 10:00am – 6:00pm

Non-profit spaces are limited to 10’ X 10’. Please ensure your operation will fit within this footprint. All organizations will be located at the discretion of the Neptune Festival Vendor Committee.


ELECTRICAL REQUIREMENTS
Electrical hookup may not be available at your assigned location prior to Friday, September 27th.
All equipment, electrical or otherwise, must meet or exceed Virginia Beach Health and Safety standards.


ACTIVITIES AND COOPERATION

ACTIVITIES

To qualify for no-cost space during the Neptune Festival Boardwalk Weekend, non-profit organizations agree to offer a no-cost, audience-interactive activity. The idea is two-fold, first to offer something “fun” for our attendees to do, and secondly, to enhance the exposure your organization receives. This activity need not be complex, but is an integral part of being on the Boardwalk. You must outline your anticipated activity on the application form.

FRIEND-RAISING, NOT FUND-RAISING
The focus of a Non-Profit space during the Neptune Festival Boardwalk Weekend is “friend-raising”, not fund-raising. Donations may be accepted on the Boardwalk through QR Codes or other posted links to your donation portal, but this should be secondary to the interactive engagement piece. The following activities ARE NOT allowed in Non-Profit booth spaces:

  • Tip, Donation, or other similarly worded containers that encourage Festival goers to drop in cash or checks as they pass by.
  • Selling of any item – physical or non-physical – on site. This includes, but is not limited to, shirts, toys, bags, event registrations, food, drinks, etc. Items may not be “given away” in exchange for donations to your organization.
  • Any behavior or actions that negatively affect another organization located on the Boardwalk.

Conducting any prohibited activity in a Non-Profit space will result in actions up to and including being banned from participation in future Neptune Festival events and immediate removal from the Boardwalk with no refunds.

VOLUNTEERS
Like you, the Neptune Festival is a non-profit organization. As such, we are critically dependent on the efforts of our volunteer friends to help. We ask that, if possible, each group selected as a participating non-profit organization provide volunteers for Neptune’s 8k Race and/or Neptune’s Grand Parade on Saturday, September 28th. STRUCTURES
The non-profit must construct a well-decorated booth, erect a personally owned tent, or rent a tent as previously outlined.


INSURANCE
If your organization carries insurance, you will be asked to submit a Certificate of Insurance to include the following limits: Combined Bodily Injury and Property Damage Liability limit, including Product Liability of $1,000,000.

The Certificate Holder (as additional insured) should be designated as VIRGINIA BEACH EVENTS UNLIMITED, INC., t/a VIRGINIA BEACH NEPTUNE FESTIVAL AND THE CITY OF VIRGINIA BEACH. Note: The Certificate must be issued in the same company name as the applicant, as it appears on all applications and forms.

Certificate dates should read “in effect from 9/27/2024 through 9/29/2024.”
